Document Control/Project Assistants are responsible for tasks and activities assigned to support effective records management services.  They possess knowledge and experience in all areas of document/data management, including identification, creation, use, retrieval, access, retention, and turnover documents preferably in an engineering/construction/manufacturing environment. They are also responsible for managing document flow and storage through various functions and processes and assisting the Project Management department with document management. 
 
 
Key Responsibilites:

• Receiving, tracking and monitoring drawings and documentation
• Responding to internal and external drawing and documentation requests
• Generating Document Control reports
• Printing, photocopying, folding as required
• Update and maintain existing project files / records
• Organize, compile and submit project binders, manuals or supporting documents
• Assist in customer and reception duties as required
• Expediting the review of internal and external documentation within Project Management  and Engineering departments
• Provide administrative support to the Reception/Service Desk: Answer phones, assist clients, clerical assistance
• Provide administrative support to Project Management department;
    • Assist with monitoring and reporting on progress of projects to stakeholders as required.
    • Assist with tracking and managing change notices and change orders in the database 
    • Assist in preparing project closure reports with the Project Manager 
    • Assist in the drafting and issuance of project documentation and preliminary schedules 
    • Set up new project templates, project codes and information, and ensure contracts are signed and filed 
    • Liaise between project managers and accounts receivable for timely project milestone invoicing
    • Assist the Project Manager in utilizing tools to track procured material, drawing status, document status
    • Understand the concepts of the PMI Project Management Methodology
Qualifications:
  • College graduate in business administration or technologies and at least 2-5 years of experience, or an equivalent combination of education and experience
  • Prior experience in document control with an engineering company, and/or dealing with EPCMs 
  • SharePoint Administration
  • Knowledge of electronic Document/Data Management Systems (DocBoss)
  • Knowledge of M2M enterprise resource planning (ERP) software
  • Customer focused to ensure that customer requirements and expectations are delivered on time and to a high standard;
  • Above average knowledge of MS Office (g. Word, Excel, PPT and Outlook) with an aptitude for learning new programs
  • Self-motivated, continuous learner, with a high sense of energy and urgency;
  •  Ability to meet deadlines and manage priorities 
  •  Data entry, organization and storage knowledge
  •  Ability to work in a team-oriented environment as well as the capability to work independently
  • Detail oriented and skilled in basic analytical thinking;
  • Ability to learn fast, maintain quality and efficiency, apply acquired knowledge
  •  Effective communication skills, both verbal and written;
  • Ability to deal effectively and professionally with all staff levels within the organization as well as with external stakeholders
  •  Initiative to suggest continuous improvement processes wherever possible to enhance and promote the goals of the organization
